Join the City of Ballarat as an Executive Assistant supporting the Mayor and Deputy Mayor. As part of the Executive and Civic Services team, you will play a critical role in delivering excellence in governance and engagement.
About the role
Provide high-level executive and civic support to the Mayor and Deputy Mayor, including confidential and day to day management in a busy and politically sensitive environment, to enable the Mayor and Deputy Mayor to effectively fulfil civic responsibilities and community leadership duties to deliver positive community outcomes.

Key Selection Criteria
Relevant tertiary qualifications in business administration or a related field, or substantial experience in executive support roles, within local government or a politically sensitive environment.
Proven experience as an Executive Assistant supporting a Mayor, Government Official, or Senior Executive, with high-level administrative skills and the ability to manage confidential and complex matters in a politically sensitive setting and customer service orientated environment.
Exceptional organisational and time management skills, with a proven ability to deliver high-quality work under pressure, within strict deadlines with impeccable attention to detail and a high level of accuracy in all aspects of work, while effectively managing competing priorities and adapting to changing demands.
Outstanding interpersonal, communication and public relations skills, with proven ability to exercise sound judgement, discretion and engage confidently with a wide range of stakeholders, including in challenging or sensitive situations.
Strong analytical skills, including the ability to conduct research, interpret data, and support informed decision-making, alongside sound judgement and initiative in resolving issues.
Highly self-motivated with demonstrated resilience and adaptability in dynamic environments, with the ability to work independently and collaboratively as part of a high-performing team in a fast-paced, high-profile setting.
Advanced proficiency in Microsoft 365 and corporate systems for document management, scheduling, and record keeping, with demonstrated ability to maintain and improve administrative procedures with strong attention to detail.
Flexibility to work outside standard office hours, as required, to support the Mayor and Deputy Mayor’s attendance at community and civic events.
A current Victorian Drivers Licence.
Demonstrated ability to champion, model and promote the City of Ballarat corporate values.
