This is a full-time, immediate opportunity for a polished, highly organised, and commercially minded Executive Assistant ready to support the Managing Director of a multi award-winning firm operating from a brand-new, state-of-the-art office in the heart of the Southport business district.

The business is recognised for its high-performance culture, elevated service standards, and strong local presence.

The team lives and breathes the Gold Coast lifestyle, fast-paced days in the business district, with the coastline on the doorstep and a culture built around excellence, energy, and ambition.

As the Executive Assistant to the Managing Director, you will bring structure, precision, and exceptional presentation to a role that sits at the centre of operations. You will be supporting a high-profile MD who is constantly in the spotlight, balancing commercial priorities, media visibility, fast cycles of work, and ongoing brand growth.

This role requires a trusted, composed professional who can confidently support the Director through confidential and sensitive legal matters, remain non-judgemental, and operate with absolute discretion in a high-trust environment. The role also requires the ability to travel locally, nationally, and at times internationally to support the MD across client work, events, meetings, and commercial engagements.

You’ll bring a confident, composed, and engaging presence with the natural ability to command a room, manage sensitive information, and support an executive who moves at speed and expects excellence.

With a design-led fit-out, premium environment, onsite parking, and clear long-term development pathways, this role offers stability, progression, and the opportunity to build a career with one of the Gold Coast’s most awarded professional firms.

Here’s What You’ll Be Doing:

  • Managing the MD’s calendar, daily workflow, priorities, and inbox in a fast-paced environment.
  • Preparing briefing notes for meetings, conferences, strategy sessions, and business development.
  • Coordinating senior candidate interviews, preparation for negotiations, and documentation.
  • Drafting proposals, pitch decks, Terms of Business, and internal communications.
  • Supporting the MD through confidential commercial and legal matters.
  • Liaising with lawyers, accountants, and external advisors.
  • Acting as a trusted confidant, calm, unbiased, and professional.
  • Managing the MD’s involvement in high-value client relationships.
  • Preparing reports, metrics, revenue snapshots, and performance summaries.
  • Coordinating photoshoots, media appearances, content shoots, and public engagements.
  • Managing travel schedules and accompanying the MD locally, nationally, and internationally.
  • Supporting internal culture initiatives, team meetings, onboarding, and HR documentation.
  • Managing executive workflows, signatures, approvals, and commercial documentation.
  • Overseeing office presentation, brand standards, meeting rooms, and front-of-house experience.
  • Providing project support across operations, HR, marketing, recruitment, and commercial initiatives.

What You’ll Bring to the Role:

  • Exceptional grooming and presentation suitable for a premium corporate environment.
  • Experience as an EA, PA, or senior administrator supporting executives or directors.
  • A confident, composed, and engaging interpersonal style.
  • Highly developed organisational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills with a corporate, polished tone.
  • Ability to remain non-judgemental, discreet, and balanced in sensitive matters.
  • Emotional maturity and the ability to operate with strict confidentiality.
  • Flexibility and availability to travel locally, nationally, and internationally.
  • Advanced proficiency in Microsoft Office and strong document formatting skills.
  • A proactive mindset with the ability to anticipate needs and stay ahead.
  • A solutions-focused approach with meticulous attention to detail.
  • A desire to grow within a high-performance, supportive corporate team.

What’s in It for You:

  • Salary range: $70,000 to $85,000 + super, aligned with experience.
  • Monday to Friday hours with a stable, corporate rhythm.
  • A brand-new, state-of-the-art office fitout in the Southport business district.
  • Onsite parking, a major lifestyle advantage.
  • Premium CBD-style surrounds with cafés, gyms, dining, and the Broadwater all within walking distance.
  • A polished, boutique workplace culture with a high-performing, close-knit team.
  • Structured onboarding, training, and service standards.
