Join Our Team as an Executive Assistant!

Casual: 12 Hours per week , 4 Hours per Day on Tuesdays, Wednesdays, and Fridays (School-Friendly Hours: 9:30 AM - 1:30 PM or 10:00 AM - 2:00 PM)

Compensation: $30 per hour

Location: Remote (Melbourne-based candidates preferred for occasional team meetings)

We are seeking a dedicated Executive Assistant to provide essential support to our General Manager and contribute to the efficiency of our operations. Key Responsibilities:
  1. Diary and Correspondence Management: Provide comprehensive diary management for our General Manager, ensuring seamless scheduling and organization of appointments. Handle correspondence with professionalism and attention to detail.
  2. Meeting Coordination: Schedule board and committee meetings, acting as minute taker and administrative support. Prepare meeting agendas and ensure that all necessary materials are distributed in advance.
  3. Travel Coordination: Manage travel arrangements and outreach to facilitate meetings for our general manager and chair. Ensure smooth logistics to enhance operational efficiency.
  4. Administrative Support: Serve as a point of contact for incoming phone calls and emails, providing administrative overflow support as needed. Handle inquiries with responsiveness and professionalism, working closely with our membership coordinator.
  5. Time Management and Organization: Demonstrate exceptional time management skills to balance multiple tasks effectively. Prioritize responsibilities and adapt to changing needs in a fast‑paced environment.
  6. Written Communication: Utilize strong writing skills to draft correspondence, meeting notes, and other documentation as required. Ensure clarity and professionalism in all written communication.
  7. Collaboration: Work closely with other team members to support overall organizational goals. Participate in team meetings and contribute to a collaborative work environment.

Whilst remote the team currently meets occasionally, presently this is monthly Melbourne CBD, however there will be instances where this changes / increases as key events and projects are delivered.

A minimum of 1-2 years of Executive Assistant experience is required for this role.
