Job summary

BCD Travel is seeking a highly organized Executive Assistant to support the Managing Director, Australia & Singapore, and the Australian Senior Leadership Team. You will handle confidential information, coordinate administration, reporting, and project activities across the business, and act as a trusted partner to stakeholders.

Qualifications

  • 4–5 years' experience supporting senior executives
  • Experience managing calendars, travel, meetings, and executive administration
  • Advanced MS Office, Outlook, Excel, PowerPoint, Word; SAP a plus
  • Strong organisation and ability to manage priorities
  • Excellent written and verbal communication
  • Strong stakeholder management and confidentiality
  • Proactive, adaptable, solutions-focused
  • Experience in international business environment preferred

Responsibilities

  • Manage calendars, diaries, expenses, correspondence, and priorities
  • Coordinate meetings—scheduling, agenda, minutes, follow-ups

We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to our Managing Director, Australia & Singapore, while also supporting the Australian Senior Leadership Team. This role is critical to ensuring the smooth operation of executive and leadership activities. Working with confidential and time-sensitive information, you will act as a trusted partner, coordinating administration, reporting, and project activities across the business. As the first point of contact for the Managing Director and a range of internal and external stakeholders, you will build strong relationships with colleagues, clients, vendors, suppliers, and other business partners.

As an Executive Assistant, you will

  • Manage calendars, diaries, expenses, correspondence, and administrative priorities.
  • Coordinate internal and external meetings, including scheduling, agenda preparation, minute-taking, and follow-up actions.
  • Arrange and manage domestic and international travel, accommodation, and detailed itineraries.
  • Organise company meetings, Town Halls, leadership events, and off-site sessions, including logistics and presentation materials.
  • Act as a key communication point for leadership team enquiries and business-related requests.
  • Build and maintain effective relationships with internal and external stakeholders, including Sydney office building and facilities management.
  • Ensure the highest level of confidentiality, professionalism, and discretion in all aspects of the role.

About you

  • 4-5 years' experience as an Executive Assistant supporting senior executives within a national or global organisation.
  • Demonstrated experience managing complex calendars, travel arrangements, meetings, and executive administration.
  • Advanced proficiency across the Microsoft Office suite, particularly Outlook, Excel, PowerPoint, and Word. Experience with SAP is highly regarded.
  • Exceptional organisational, planning skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills, with excellent attention to detail.
  • Outstanding stakeholder management capabilities and the ability to build credibility at all levels of an organisation.
  • Sound judgement, professionalism, and a proven ability to manage confidential and sensitive information.
  • A proactive, adaptable, and solutions-focused approach.
  • Previous experience working in an international business environment will be highly regarded.

The successful candidate will be required to complete satisfactory pre-employment checks prior to commencement in role.
