Executive Assistant

Sydney | Full-Time | Hybrid (3 days in office / 2 WFH)

MAYDAY Recruitment is partnering with a highly successful, boutique Sydney-based firm to appoint a sophisticated and polished Executive Assistant. This is a rare opportunity to work closely with the Owner and a small, close-knit team, providing high-level support and acting as the face of the business in a refined, fast-paced environment.

About the Role

Reporting directly to the Owner, you will operate as their right hand, providing executive, administrative, and operational support. You will be the first point of contact for candidates and key external partners, setting the tone with your professionalism, warmth, and impeccable presentation.

This role is ideal for someone who thrives on variety, naturally takes initiative, and brings style, etiquette, and exceptional written communication to every task.

Key Responsibilities
  • Act as the main interface for external contacts, including legal, banking, and corporate governance stakeholders
  • Manage the Owner’s diary, email inbox, and daily priorities
  • Coordinate interviews, prepare meeting rooms, manage schedules, and greet candidates
  • Proofread and prepare documents, correspondence, and presentations with exceptional accuracy and discretion
  • Handle ad hoc personal assistance tasks with tact and discretion
  • Organise and book lunches, events, and high-end venues; suggest sophisticated, on-trend locations
  • Coordinate travel, meeting rooms, and logistics to ensure smooth operations
  • Support marketing initiatives and internal communications
  • Assist a small team and contribute to a warm, connected, and collaborative culture
  • Bring proactive ideas to streamline operations and enhance workflow
About You

You are polished, confident, and warm — someone who can represent a high-performing boutique firm with sophistication and grace. You enjoy creating order, elevating standards, and being the glue that brings a team together.

You will ideally have :
  • Experience supporting senior stakeholders, preferably in a boutique or smaller organisation
  • Exceptional written communication and proofreading skills
  • Strong etiquette, presentation, and interpersonal skills
  • Comfort engaging with banks, lawyers, and high-net-worth individuals
  • A warm, approachable personality
  • Strong initiative and ability to anticipate needs
  • Tech‑savviness and confidence with modern tools and systems
  • A sense of style and an eye for quality venues, events, and experiences

Any professional corporate background is welcomed

Highly regarded : Experience in legal, finance, or professional services environments due to the seniority and nature of stakeholders supported.
