Commercial and Document Control Manager / CAF Rail Australia - Dubbo

We are currently seeking a Document Control Manager with additional commercial oversight to manage the document processing of CAF contract deliverables and provide commercial oversight and input where required through the different phases of the Delivery Subcontract. The role reports to the local Senior Manager Rolling Stock and can include other duties as required.

The Document Controller aspect will oversee, maintain and supervise the documents of the project based on the schedule, quality control, and the contract with the client and subcontractors, to ensure that the information of the project is controlled, is delivered to the necessary persons, and is prepared on time.

The commercial management aspect will maintain structure to the contract outcomes by overseeing and providing input where required for contract communications and deliverables.

GENERAL RESPONSIBILITIES
  • Preparation of the Monthly Works Report (working with department leads for inputs and final preparation / review and submission)
  • Coordination of the Monthly Progress Claim, including management of clarifications from Financial Controllers
  • Supporting the PM team in relation to commercial documentation preparation (provision of requested information / documentation)
  • Collaborate in the preparation and assessment of the project departures and modifications working with and supporting the Senior Manager and Project Contract Manager
  • Manage and update the many contractual Management Plans i.e. Annual Performance Report, Risk etc
  • Document control responsibilities / Management of TeamBinder (via contract representatives account)
  • Checking, validating and verifying all documentation, including correct numbering, revisions, status, format, title and legibility. Providing final overview of documentation issued via Teambinder for its legal and contractual obligations
  • Maintenance of electronic files and document registers
  • Ensure timely processing and return of documentation
PROFILE
  • Proven work experience in contract management in a large engineering project ideal
  • Knowledge of engineering procedures and contracts, legal matters and terminology
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Strong organization skills with a problem‑solving attitude
  • Excellent written and verbal communication skills
  • Knowledge of local legislation
  • Able to work under pressure and tight schedule milestones
  • Prioritise capabilities externally and internally
  • Superior written, personal and interpersonal communication skills
  • A strong focus on quality and procedural accuracy
  • A high level of self‑motivation

The NSW Government is replacing the NSW regional rail fleet of XPT, XPLORER and Endeavour trains with 29 safer, comfortable and more accessible trains for customers travelling across NSW and between Sydney, Canberra, Melbourne and Brisbane. As part of the Regional Rail project, the Mindyarra Maintenance Centre in Dubbo will receive a new talented team for train completion works (manufacturing, testing and quality activities), with potential transition in the future to the warranty & maintenance teams.
