This role will suit someone who enjoys variety, takes pride in getting the details right, and is comfortable balancing client service administration with reception and day-to-day office coordination.

Key responsibilities
  • Support clients: Deliver friendly, responsive and professional service across each stage of the client advice journey.
  • Coordinate appointments: Assist Client Service Managers to manage bookings, confirmations, meeting preparation and client follow-up activity.
  • Prepare documentation: Assist with the preparation, issue and recording of client correspondence, forms, reports, applications and meeting documentation.
  • Maintain records: Ensure client contact, tasks, file notes and documents are recorded accurately and promptly in Xplan and other approved systems.
  • Progress client matters: Follow up outstanding information, documentation, applications and service requests to help achieve timely client outcomes.
  • Welcome visitors: Manage reception, incoming calls and visitors to ensure every client receives a professional and welcoming experience.
  • Coordinate the office: Maintain meeting rooms, office supplies, mail, bookings and front-of-house presentation to a consistently high standard. Provide support to other offices as required.
  • Work collaboratively: Provide reliable support to all members of team, escalating matters appropriately and contributing to continuous improvement.
About you
  • Previous experience in client service, administration, reception, office coordination or professional-services support.
  • Financial planning, private wealth, accounting, banking, insurance or legal experience will be highly regarded.
  • A polished, warm and professional approach, with a genuine commitment to delivering an exceptional client experience.
  • Strong planning and time management skills, with the ability to balance daily front-of-house priorities with competing client service tasks.
  • Excellent attention to detail in documentation, data entry, record keeping and follow-up.
  • Confident and professional verbal and written communication skills.
  • Sound Microsoft Office capability. Experience using Xplan or another CRM system will be advantageous.
  • A proactive, practical and solutions-focused approach, with the confidence to identify issues and upscale them promptly where required.
