Role Description

Responsible for accurately recording and managing the working hours of all employees. This role ensures that all timekeeping and attendance records are properly maintained to support payroll processing compliance with labor regulations and project management. The Timekeeper works closely with Resource Manager to ensure that all labor costs are accurately tracked and time records follow company policies and applicable laws.

Responsibilities
1. Timekeeping and Attendance Management
  • Record and monitor the working hours of all workers, including direct employees, subcontractors, and laborers on the construction site.
  • Ensure accurate time entries, including overtime, shift differentials, and other adjustments as necessary.
  • Maintain and update attendance records, noting any absences, late arrivals, early departures, or other attendance issues.
  • Manage timesheets to ensure all employees’ work hours are recorded consistently and accurately.
  • Verify that hours worked match project schedules and site requirements.
2. Payroll Support
  • Assist the payroll department by providing accurate and timely timekeeping data for payroll processing.
  • Ensure that all work hours, overtime, and deductions are accurately captured and reported for payroll purposes.
  • Track and report on employee leaves (sick, vacation, personal days) and any time off that impacts payroll calculations.
  • Review timesheets submitted by workers or supervisors to identify discrepancies and resolve any issues before submission to payroll.
3. Site Attendance Tracking
  • Track and record site-specific attendance, including monitoring entry and exit times for workers on-site.
  • Ensure that workers’ attendance records are up to date, ensuring compliance with labor laws, union agreements, and company policies.
  • Help coordinate and implement any attendance systems (manual or digital) such as time clocks, biometric systems, or mobile apps for remote sites.
4. Data Entry and Record Keeping
  • Maintain accurate digital or physical records of worker attendance timesheets and any supporting documentation (e.g., work permits, shift rosters).
  • Ensure all records are kept secure, organized, and readily accessible for auditing or review purposes.
  • Provide weekly or monthly reports to the project manager or HR regarding labor hours, absenteeism, and other attendance-related data.
5. Coordination with Supervisors
  • Collaborate with site supervisors to ensure that time records align with daily work schedules, shifts, and project needs.
  • Address any issues or discrepancies in timekeeping, including checking with supervisors or employees to verify hours worked.
  • Help monitor and manage the schedules of workers on-site to ensure that work hours meet the project requirements.
  • Work closely with site management to update records on project delays, absenteeism, or other workforce management issues.
6. Health and Safety Compliance
  • Assist in ensuring compliance with work-hour regulations under relevant labor laws and construction industry safety standards.
  • Keep track of workers’ compliance with site safety protocols, such as attendance at safety meetings or training sessions.
  • Monitor the need for special allowances such as rest periods or mandatory breaks, especially in hot or hazardous work conditions.
7. Reporting and Documentation
  • Generate regular timekeeping reports and submit them to the payroll department, project management, or HR for further processing.
  • Prepare detailed reports on labor costs, overtime, and worker availability for project budgeting and financial tracking purposes.
  • Maintain records for auditing purposes, ensuring they are aligned with labor laws and company policies.
8. Support for Dispute Resolution
  • Address any issues or disputes regarding timekeeping, such as discrepancies in hours worked, absences, or overtime claims.
  • Work with supervisors, HR, and workers to resolve conflicts or misunderstandings regarding time records or pay.
