Brief : Undertakes a variety of administrative and executive support related responsibilities to ensure efficient and effective operations across the MD’s Office.
Key Responsibilities :
- Manages the Chairmans calendar, interacting with both internal and external executives and/or their offices to coordinate a variety of meetings, presentations, board meetings, and all relevant paperwork, agendas and ground logistics.
- Managing private and commercial travel requests, both scheduled and adhoc for the Chairman, including flights, hotels, visas, and ground logistics. This also extends to group bookings, catering and conference facilities.
- Assisting with strategic planning of group events including team building activities, townhalls, seminars and festive events.
- Manages LPOs and POs for unbudgeted requests.
- Drafting, editing and proof-reading emails, letters and internal communications.
- Manages and maintains an electronic documentation control system to ensure ease of access to required information/documentation at all times.
- Conducts research and carries out due diligence on specific subjects/products/services.
- Manages corporate gifting and greetings all year round.
- Identifies and implements improvements and modifications to clerical and administrative procedures to ensure the highest standards of clerical/administrative support to business activities.
- Supporting priority and time-based projects and ongoing assignments including interior design projects, new launches, marketing activations, seasonal communications campaigns, digital and automation projects, etc.
Skills :
- Proficient in Microsoft Word, Excel, and PowerPoint
- Excellent corporate communication skills
- Tact and discretion
Candidates Requirements :
- Bilingual – fluent in English (Arabic preferable)
- Minimum of 5 years’ experience with C-Suite Management or HNWI
- Minimum of 2 years’ experience in the UAE
- Currently residing in Dubai
