Job Description:
Senior Document Controller

Abu Dhabi, UAE

What You'll Be Doing
  • Plan, organize, and implement systems for efficient document processing of all communications, supplier documents, design documents, construction documents, and other internal or external documents.

  • Coordinate the flow of documents between project operations, engineering disciplines, the construction team, and other department groups. Typically be responsible for a small to medium-sized project.

  • Work on document control processes and the use of electronic systems to manage documentation.

  • Implement document and data management solutions with a primary focus on document control and records management, and administer data/document management applications.

  • Draft, review, and format formal letters and emails to clients, consultants, contractors, and internal stakeholders, ensuring professional language, accuracy, and alignment with project and contract requirements.

  • Support project managers in preparing project-related correspondence, including transmittals, notifications, and responses to client and consultant letters.

  • Attend project and coordination meetings (online and in person) as required to record minutes of meetings.

  • Prepare clear, concise, and accurate minutes of meetings, including action items, responsibilities, and deadlines.

  • Circulate draft minutes to attendees, follow up to obtain reviews, comments, and confirmations, and finalize minutes for the official record.

  • Track agreed actions from meetings and coordinate with relevant team members to ensure follow-up and closure are properly documented.

  • Support the preparation and submission of invoice-related documents to clients and consultants, where required.

What Required Skills You'll Bring
  • A Bachelor’s degree or diploma in any field.

  • Minimum 8 years of experience as a Document Controller, preferably within engineering, construction, or consultancy environments.

  • Proven experience drafting and formatting formal letters and professional correspondence in English for clients and consultants.

  • Strong minute-taking skills, with demonstrated ability to:

    • Capture key discussion points and decisions.

    • Clearly record action items, responsible parties, and deadlines.

    • Follow up with attendees to validate and finalize minutes before filing.

  • Excellent written and oral communication skills in English.

  • Strong interpersonal skills, with the ability to interact professionally and confidently with clients, consultants, contractors, and internal project personnel, including senior management.

  • High level of attention to detail, accuracy, and organization in managing large volumes of documents and correspondence.

  • Proficiency in MS Office, with expertise in Microsoft Word, PowerPoint, and Excel.

  • Experience supporting commercial documentation (such as invoices, payment certificates, variations, and related correspondence) and coordinating with Client’s finance/contracts teams is a strong advantage.
