Job Overview
As the Receptionist, you are the first point of contact for the company and provide administrative support. You will manage the flow of people through the business, ensure all receptionist responsibilities are completed accurately and delivered with high quality and timeliness, and support the HR and CSR function.
Responsibilities
- Creation and driving of the calendar for all CSR events throughout the year based on the UN calendar
- Running recurring HR initiatives and sporting activities
- Monitoring the CSR budget and providing reports
- Preparing and overseeing the execution of office CSR activities
- Creating internal communications and publishing them on all organisation channels for UAE and MENA regions
- Managing the internal Instagram page
- Ensuring all areas business have access to non‑specific regional communications
- Sending out SEED communications on all organisation channels
- Implementing Sustainable Development Goals in the company (e.g. recycling programmes)
- Ensuring the monthly publication of The Buzz Newsletter
- Supervising the reception rotation and ensuring a cover/representative at all times
- Covering the reception when required and managing office sundry replenishment (stationery, refreshments, etc.)
- Reporting any maintenance issues to the concerned department
- Delegating and supervising day‑to‑day admin tasks as required
- Leading the team of receptionists, setting KPIs and meeting the objectives of HR Operations
- Motivating and managing the performance of the receptionist team in a fast‑paced, high‑performing environment
- Maintaining a multicultural environment with over 50 different nationalities
Qualifications
- Secondary education required
- 5+ years of front‑office experience handling receptionist responsibilities, with at least 1 year in people management
- At least 2 years of experience within the UAE
- 3+ years in managing events/employee engagement activities
- Proficient with Microsoft Office Suite, Canva and using a Mac
- Proficient with Microsoft Excel
- Fluent English, excellent verbal and written communication skills
- Strong understanding of employee engagement and the importance of it
- Ability to organise, multitask, prioritise and work under pressure
- Resourceful and proactive in dealing with issues that may arise
- Project‑management skills and strong collaborative skills
- Customer‑service attitude, friendly, well‑spoken, professional and upbeat appearance
- Can perform under pressure and operate in a fast‑paced environment
