Job summary

SPM Energy Shipping is seeking an experienced Purchase Manager/Officer to oversee end-to-end procurement for a fleet of vessels, including lubes, chemicals, paints, spares, and stores. You will work with Technical Managers, vendors, and inventory firms, applying strong negotiation and ERP prowess while coordinating drydock handovers.

Candidate should have maritime procurement exposure, PMS/ERP familiarity (Mariapps preferred), and solid Excel skills to track ROB, usage, and costs across the

Qualifications

  • Bachelor's degree in Marine Engineering, Supply Chain, Business, or related field (Maritime background preferred).
  • 3+ years of procurement/purchasing experience in shipping/maritime.
  • Heads-on experience with PMS/ERP software (e.g., Mariapps is a plus).
  • Strong negotiation and vendor management skills.
  • Proficiency in Excel for tracking ROB, supply, and consumption data.
  • Experience with drydock cost control and vessel handover/takeover procedures.
  • Knowledge of maritime compliance items (LSA/FFA, radio survey, gas detector calibration).
  • Excellent communication skills for cross-functional coordination.
  • Detail-oriented with strong organizational and multitasking abilities.

Responsibilities

  • Manage requisition and purchase modules on Technical Managers' PMS software.
  • Procure lube oil, paints, and chemicals for a multi-vessel fleet.
  • Source additional quotes for critical/hard-to-find spares across all Technical Managers.
  • Coordinate with inventory management companies for onboard supply and sign-off tracking.
  • Track monthly spare parts consumption and update PMS records.
  • Maintain a database of lubes and chemicals arranged fleet-wide.
  • Arrange and coordinate communication systems (VSAT, FBB, Starlink) for all fleet vessels.
  • Track and maintain minimum onboard quantities of critical spares.
  • Plan procurement and logistics during vessel takeover (LSA/FFA services, radio survey, UTI & gas detector calibration, name-change stencils, vessel stamps, stores, gas bottles, chemicals, lubes).
  • Maintain monthly ROB, supply, and consumption records in Excel for all vessels.
  • Coordinate vessel handovers with agents, manage exclusion item landing, and negotiate/close supplier contracts.
  • Liaise with Recycling team for spares/stores requirements; maintain records and provide daily reporting.
  • Arrange spares and lubes for demo vessels on request.
  • Consolidate and coordinate freight forwarding of spares/stores to vessels at convenient ports.
  • Review quotations and invoices from Technical Managers for approval.
  • Review, approve, and upload invoice payments in the ERP system.
  • Manage drydock accounting for stores, spares, and service supply; report to line manager periodically.
  • Track drydocking costs, handle negotiations, and control expenses.
  • Negotiate with managers and vendors; manage credit notes, invoices, and SOA reconciliation.
  • Resolve invoice/PO discrepancies with vendors and managers.
  • Arrange UTM, sludge, slop, and underwater jobs for owner-related works.
