Job Overview:

Zayed Sports City is seeking an experienced and highly motivated Property & Leasing Coordinator to lead, coordinate and support effective property management across the organisation’s portfolio, ensuring seamless operations, accurate reporting, proactive tenant relations, lease administration, and regulatory compliance.

The role facilitates communication between tenants, internal teams, and external stakeholders to optimise property performance and tenant satisfaction and reports to the Operations Director.

This role is critical to provide effective reporting and accurate documentation to support informed decision‑making by management and help track key lease milestones, financial collections, and compliance metrics.

The coordinators' ability to address tenant concerns promptly and coordinate operational needs to enhance tenant retention and property reputation is an important part of the role.

Key Responsibilities:
Property Coordination & Tenant Relations
  • Serve as the primary point of contact for tenants, addressing routine inquiries, coordinating issue resolution, and maintaining positive tenant relationships.
  • Conduct thorough move‑in and move‑out inspections and maintain comprehensive documentation including checklists and photographs.
  • Maintain updated tenant records including trade licenses, insurance certificates, lease files, and correspondence.
  • Coordinate tenant operational requirements such as parking allocation and communal space management, especially during special events.
Lease Administration & Compliance
  • Maintain and regularly update a Lease Master Tracker capturing lease terms, key milestones (renewals, expiries), rental values, and compliance documentation.
  • Liaise with relevant government authorities to ensure timely registration, renewals, and regulatory compliance (e.g., Tawtheeq).
  • Monitor lease milestones and issue timely notifications in accordance with local tenancy laws and organisational policies.
Reporting & Documentation
  • Prepare and present regular management reports on property status, leasing activity, tenant issues, and compliance metrics.
  • Ensure lease agreements and related documentation are properly executed, archived, and accessible for audits.
  • Collaborate closely with Finance, Legal, and Operations teams to support financial coordination and property management processes.
Financial Coordination & Collections Support
  • Assist Finance in rent invoicing processes, payment tracking, and follow‑up on overdue accounts.
  • Escalate unresolved payment issues as appropriate following organisational protocols.
  • Maintain accurate financial records related to rent collections and lease administration.
Property Maintenance & Vendor Coordination
  • Act as liaison with maintenance and facilities teams to ensure timely handling of tenant maintenance requests and preventative maintenance schedules.
  • Oversee vendor performance related to property upkeep and communal area maintenance, ensuring compliance with contractual obligations and quality standards.
Requirements:
  • Bachelor’s degree in business, Real Estate, Property Management, or related field preferred.
  • At least 3‑5 years’ experience in property management or coordination roles, preferably with exposure to local regulatory frameworks.
  • Strong knowledge of tenancy laws, property registration processes, and industry best practices.
  • Demonstrated skills in reporting, tenant relations, documentation, and financial coordination essential.
  • Bilingual proficiency in Arabic and English is highly desirable.
  • Proficiency with property management software and databases.
  • Strong knowledge of lease administration, tenancy laws, and regulatory compliance.
  • Expertise in documentation control, record keeping, and reporting.
  • Ability to conduct property inspections with detailed condition reporting.
  • Familiarity with government registration processes and permits management.
