Role Summary
We are seeking a highly organized, discreet, and professional Executive Secretary cum Personal Assistant to provide comprehensive executive and personal support to the Chairman of a high-net-worth family. This is a trusted, long-term role requiring exceptional attention to detail, confidentiality, and the ability to manage complex schedules, international coordination, and diverse personal and household responsibilities.
Key Responsibilities
- Manage complex calendars, appointments, and meetings across multiple time zones
- Coordinate meetings, events, and engagements
- Prepare documents, presentations, and reports
- Handle professional correspondence and screen calls and inquiries
- Maintain organized filing systems and records
Personal Assistance
- Coordinate international and domestic travel, including flights, visas, accommodation, and itineraries
- Manage personal appointments, reservations, errands, and special requests
- Assist with shopping, gift selection, and event coordination
- Support personal and confidential projects as required
Household & Lifestyle Management
- Coordinate household staff and external vendors
- Oversee schedules, maintenance, and service arrangements
- Assist in planning and managing household and private events
- Track and manage household-related expenses
Global Coordination
- Liaise with international contacts and stakeholders
- Manage schedules and communications across global time zones
- Support international events and engagements
Confidentiality & Professionalism
- Handle highly sensitive information with absolute discretion
- Maintain professionalism and uphold family values at all times
Qualifications & Skills
- 3–5 years of proven experience as an Executive Secretary or Personal Assistant
- Prior experience supporting senior executives or high-net-worth individuals preferred
- Exceptional organizational, multitasking, and time-management skills
- Excellent written and verbal communication skills in English
- Strong business writing and professional communication abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently, proactively, and under pressure
- High level of discretion, integrity, and confidentiality
- Experience coordinating international travel
- Bachelor’s degree preferred
Preferred / Additional Skills
- Experience in a family office or private household environment
- Familiarity with household management responsibilities
- Multilingual abilities
- Experience with private or luxury travel arrangements
- Background exposure to premium or luxury industries
