A leading administrative support firm in Dubai is seeking an experienced Personal Assistant to handle a variety of tasks including scheduling, communication management, and project coordination. The ideal candidate should be fluent in English, have strong organizational skills, and proven experience in a similar role. This full-time position may require some international travel and offers flexible working hours.
Administrative Support: Handle day‑to‑day administrative tasks such as scheduling meetings, managing calendars, making travel arrangements, and preparing expense reports.
Communication Management: Serve as the primary point of contact between executive and internal/external clients. This includes handling phone calls, emails, and correspondence in both French and English.
Document Preparation and Management: Draft, edit, and format documents including reports, presentations, and correspondence. Ensure that all documents are accurate and professionally presented.
Project Coordination: Assist with project management tasks, including planning, tracking progress, and coordinating with team members to ensure timely completion.
Technology and IT Support: Utilize advanced knowledge of IT and new technologies to improve office efficiency. Troubleshoot minor technology issues and provide assistance to the executive in using various software and online platforms.
Event Planning: Organize and coordinate events, meetings, and conferences, including logistics, guest lists, venue selection, and catering arrangements.
Personal Tasks: Manage a range of personal tasks for the executive as required. This may include running errands, booking personal appointments, or managing household staff.
Language Skills: Fluent English. Additional languages are a plus.
Experience: Proven experience as a Personal Assistant or similar role in Dubai. Familiarity with the local business environment is essential.
Education: A bachelor's degree is preferred. Relevant certifications in administration, IT, or project management will be considered an advantage.
IT Proficiency: Strong computer skills and proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to adapt to new technologies quickly.
Interpersonal Skills: Excellent communication skills, both written and verbal. Ability to interact professionally with a diverse group of clients, staff, and external contacts.
Organizational Skills: Exceptional organizational and time‑management skills. Ability to prioritize tasks and manage multiple projects simultaneously.
Discretion: High level of discretion and confidentiality. Ability to handle sensitive information with integrity.
Full‑time position based in Dubai.
Some international travels may be required.
Flexible working hours, including availability outside of standard office hours as needed.
