The Patient Calling Support is responsible for coordinating and scheduling patient appointments while ensuring accuracy in patient demographics, insurance verification, and provider availability. The role plays a vital part in the patient experience by maintaining efficient schedules, minimizing no-shows, and supporting smooth clinical operations.

Job Responsibilities
  • Schedule, reschedule, and confirm patient appointments via phone, email, or healthcare portals.
  • Manage provider calendars to optimize appointment slots and minimize scheduling conflicts.
  • Provide patients with appointment details, pre-visit instructions, and required documentation.
  • Handle patient inquiries regarding scheduling, cancellations, and service availability.
  • Enter and update accurate patient information, demographics, and insurance details in EMR/EHR systems.
  • Verify insurance coverage and pre-authorizations where required.
  • Collaborate with clinical staff, providers, and billing teams to ensure smooth patient flow.
  • Notify relevant departments of schedule changes or special patient requirements.
  • Conduct reminder calls/texts to reduce patient no-shows.
  • Ensure compliance with HIPAA regulations and internal scheduling protocols.
  • Maintain scheduling logs, daily appointment reports, and no-show/cancellation reports.
Skills & Competencies
  • Hands-on experience with EMR/EHR systems (e.g., Epic, Athenahealth, eClinicalWorks, NextGen).
  • Knowledge of insurance verification and prior authorization processes.
  • Strong communication and customer service skills.
