As an Office Assistant, you play a key role in maintaining our center at five-star standards and supporting both Cloud Spaces operations and clients. You will ensure smooth day-to-day operations, provide outstanding client service, and assist in creating a welcoming, professional environment.
Key Responsibilities
Daily Operations & Administration
- Open and prepare meeting rooms, boardrooms, and studios for client bookings.
- Set up beverage stations, catering, and ensure floor presentation is impeccable.
- Manage mail, deliveries, courier services, and office supplies.
- Monitor equipment (photocopiers, AV systems, video conferencing) and report maintenance issues.
- Support events and client activities as needed.
- Assist with office moves, furniture arrangements, and space setups.
- Follow all operational procedures and maintain security protocols, including key management.
Client Service Excellence
- Provide friendly, professional, and proactive client support.
- Respond to client queries promptly and maintain confidentiality at all times.
- Offer solutions, anticipate client needs, and ensure a high level of satisfaction.
- Relieve reception when needed: answer calls, greet visitors, and manage leads professionally.
Systems & Technology
- Utilize and maintain Cloud Spaces systems including: Essensys/OPERATE, Cloud Spaces Portal/App, Cisco IP Phones, IMAGICLE, and AV equipment.
- Ensure accurate use of systems for bookings, client setup, and reporting.

Qualifications & Experience
- Prior experience in an office, administrative, or client-facing role preferred.
- Knowledge of office systems and standard software (MS Office, CRM, telephony systems) a plus.
- High school diploma required; further education or certifications in administration is an advantage.
