Job description
Overview

The role of the Soft Services Specialist is to oversee the day-to-day performance of soft service facilities providers and contractors to the museum, liaising with their management and duty supervisors to ensure effective and efficient resource management, provision, training and monitoring the quality of services provided.

Responsibilities
  • Provide a first line contact for the Building Operations Department for all internal and external customers/contractors
  • Participate in Facilities Rota, acting as the first port of call for Facilities queries and provide back-up to Front of House staff to ensure arrangements for functions, VIP visits etc. go smoothly.
  • Oversee the performance of external service providers in the day to day running of the Museums soft FM services including Cleaning & Housekeeping, internal logistics, waste management, landscaping, Pest control, facde & high-access cleaning etc.
  • Monitor stock requirements for various office supplies in order to facilitate timely replenishment of inventory items which support operational requirements.
  • Manage all storekeeping activities and the management of the stores in line with the standard policies and guidelines.
  • Oversee and manage outsourced facilities management staff, including janitorial and cleaning services by monitoring work schedules for the facilities staff and timesheets and other work records for completeness and accuracy.
  • Reporting on SLAs and delivering action plans to ensure that SLAs are met/exceeded.
Support for events

Support the events management team to ensure on-site events are supported by FM providers to facilitate smooth set-up and delivery.

Ensure external provider compliance with all museum policies, site rules and statutory regulations relating to Health & Safety, safe working practices, hygiene, cleanliness and COSHH.

Qualifications
  • Minimum of 3 years of experience
  • At least 1 year in a duty-supervisor or team-leader role overseeing the provision of front and back of house soft services in public environment with heavy visitor foot-fall (e.g. shopping mall, airport, 5-star hotel).
  • Qualified in a Building, Engineering or Hospitality discipline to a minimum of diploma level and Associate Member of the CIBSE/RICS , BICS or equivalent
