Job summary

A maritime service company in Abu Dhabi is seeking a Clerical Support professional to manage port entry permits, maintain records, and assist in communication with various stakeholders. Candidates should have at least 2-3 years of experience in the marine or oil & gas sectors, along with strong organizational and interpersonal skills. This role requires flexibility, excellent English communication, and a good understanding of maritime industry standards. A high school diploma is essential.

Description

Clerical Support and Assistance

Communicate to all masters on board and get any vessels information/form/document as required for port entry permits and/or port authority requirements.

Maintain the records and Tracker Report file regularly and in an organized manner.

If required, update records for International Safety Management (ISM) and HSEQ.

Assist the Fleet Manager/Port Captain and the Technical Manager/Port Engineer on matters related to operations and maintain the records and files in an organized manner.

Submit online application(s) for the acquisition of business permits as and when required.

Communication with external business partners

Follow up on safety equipment servicing and get approval from the supervisor on any financial matter(s).

Deal with port authorities formalities and permits including but not limited to work permits.

Ensure to keep and maintain data of food provision‑related purchases and deliveries when required arise by the Manager Purchasing & Inventory.

Coordinate with client/s surveyors and TPS (3rd party surveyors) as required.

Communicate with service providers to follow up and collect vessel certificates.

Any other tasks or duties as assigned by the supervisor(s).

Document Controller

Monitor and control all the submittals drawings transmittals as‑built drawings and letters memos vessel certificates inspection findings etc..

Create a comprehensive filing system both sift & hard forms. Where sorting storing and retrieving electronic and hard copy documents are well organized.

Controlling the documentation project/vessel wise and ensure all documentation meets formal requirements and required standards.

Producing document progress reports for line managers.

Leadership and Other factors

Facilitates and ensures continuous flow of communications including proper coordination and collaboration among all departments vessels and branches.

Ensure to protect the interest of the company as well as its clients to prevent any negative financial impact and loss of opportunity that may affect the reputation of both parties.

Demonstrates leadership role by actively participating in the implementation of cost reduction process improvement performance improvement and other continuous improvement programs.

Report any non‑conformity on vessels to the relevant departments.

Maintains a positive outlook at all times.

Ensure that HSE rules and regulations are being observed within the organization.

Demonstrate strict compliance with the organization's policies and procedures.

Provide support in the strong implementation of the HSEQ Management system.

Propose any suggestions/observations for the improvement of the HSEQ Management System.

Comply with all HSE rules and regulations of Marcap, its contractors and clients.

Comply with all Rules & Regulations of Marcap code of conduct especially related to gifts, bribery, commissions and business ethics & discipline.

Perform any other jobs that may be assigned by immediate superior or concerned managers.

Requirements

Knowledge: High School Diploma Knowledge of the Maritime industry Knowledge of Basic Health and Safety Knowledge of Microsoft Office. Computer literate with the ability to learn new software applications.

Experience: Minimum of 2-3 Years in the Marine Industry HSE Oil & gas industry.
