POSITION PURPOSE
  • Junior Leasing Administrator in a leasing department plays a crucial role in managing administrative tasks related to lease agreements, tenant interactions, and the overall leasing process. Their responsibilities help ensure the smooth operation of the leasing department. Here are the key roles and responsibilities of a Junior Leasing Administrator. Working Knowledge of UAE retail Leasing Practices and Documentation.
POSITION RESPONSIBLE FOR:
  • Prepare and maintain lease documents, including lease agreements, amendments, renewals, and terminations.
  • Ensure all lease documents are complete, accurate, and compliant with legal and regulatory requirements.
  • Serve as a primary point of contact for tenant inquiries, requests, and concerns. Communicate lease-related information to tenants and aid as needed.
  • Enter lease-related data into property management software or databases.
  • Keep tenant records and lease information up to date.
  • Assist in the preparation of lease renewal and amendment documents.
  • Coordinate the execution of lease extensions and modifications.
  • Facilitate the move-in process for new tenants, including collecting required documentation and security deposits.
  • Manage the move-out process, including the return of security deposits and lease termination procedures.
  • Maintain a database of lease expirations, critical dates, and lease-related milestones.
  • Generate reports and reminders for upcoming lease events, such as renewals and rent escalations.
  • Assist in rent collection processes, including rent invoicing, payment tracking, and late fee assessments.
  • Collaborate with accounting teams to ensure accurate and timely rent processing.
  • Coordinate tenant requests for maintenance and repairs, ensuring timely resolution.
  • Communicate with property maintenance and management teams to address tenant needs.
  • Foster positive relationships with tenants by addressing their inquiries and concerns promptly and professionally.
  • Act as a liaison between tenants and leasing managers.
  • Coordinate with vendors and contractors for maintenance, repairs, and improvements related to tenant spaces.
  • Ensure vendor compliance with insurance and contractual requirements.
  • Conduct periodic audits of lease agreements to ensure compliance with terms and conditions.
  • Stay informed about relevant leasing laws and regulations.
  • Manage office supplies, equipment, and filing systems related to leasing.
  • Assist in creating and maintaining organized lease files.
  • Prepare and distribute leasing reports to management and stakeholders.
  • Assist in the preparation of lease abstracts and summaries.
  • Provide administrative support and training to leasing team members as needed.
  • Assist in onboarding new leasing staff.
  • Maintain the confidentiality and security of sensitive leasing and tenant information.
General Administrative Support:
  • Offer general administrative assistance to the leasing department, such as scheduling appointments, preparing correspondence, and handling routine tasks.
