Job summary

Secret Gardens in Dubai, United Arab Emirates is seeking a Fleet Coordinator to allocate drivers and vehicles to multiple projects, prepare schedules, and oversee daily operation of company vehicles.

You will manage registrations, insurance, fuel accounts, and coordinate servicing and inspections, while maintaining fleet records and controlling expenses. Strong Excel skills and ability to report daily are required.

Qualifications

• 3–5 years of experience in fleet coordination or similar role.
• Experience allocating staff across multiple projects or sites.
• Experience in landscaping, construction, or facilities management is an advantage.
• Strong organizational, communication, and problem-solving skills.
• Proficient in Excel and daily reporting.

Responsibilities

• Allocate drivers and vehicles to different projects according to operational requirements.
• Prepare and coordinate driver schedules, duty assignments, and transportation requirements.
• Oversee the daily operation and utilization of company vehicles, including cars, vans, and buses.
• Manage vehicle registrations, Mulkiya renewals, insurance, and other vehicle-related documentation.
• Monitor and manage Salik, Darb, ADNOC fuel accounts, and other vehicle-related expenses.
• Coordinate vehicle servicing, preventive maintenance, repairs, and periodic inspections.
• Conduct regular vehicle inspections to ensure roadworthiness, safety, and compliance with UAE regulations.
• Monitor fuel consumption, mileage, vehicle condition, and maintenance records.
• Coordinate with garages, suppliers, insurance providers, and relevant authorities.
• Track vehicle availability and ensure vehicles are assigned and used efficiently.
• Supervise drivers and ensure compliance with company policies, traffic regulations, and safety procedures.
• Maintain accurate fleet records, schedules, and expense reports.
• Monitor fleet operating costs and identify opportunities to reduce expenses.
• Report vehicle breakdowns, accidents, maintenance issues, and operational concerns to management.
• Ensure all vehicles are clean, safe, properly maintained, and ready for daily operations.
