The Arts Club Dubai is perfectly located in the heart of the DIFC, set over four floors and totaling 65,000 square feet, in the brand-new ICD Brookfield Place development designed by Foster + Partners. It is the first international outpost of the celebrated and historical private members’ club, established in 1863 in Mayfair, London. The Club’s membership is a growing community of like‑minded, diverse and dynamic people, all hailing from different cultures and sectors, from the region and further afield.

What will you do
- Provide dedicated administrative support to the CEO and CFO, including proactive calendar management, scheduling, and coordination of internal and external meetings.
- Serve as the primary liaison and point of contact between executives, senior leadership and key stakeholders.
- Prepare, draft and manage correspondence, reports, presentations and briefing materials on behalf of the executive team.
- Ensure the executives are well‑prepared for meetings by compiling agendas, supporting documents and post‑meeting follow‑up on action items.
- Operational Coordination: Plan, organise and manage complex domestic and international travel arrangements, including flights, accommodations, transportation and detailed itineraries.
- Maintain organised records of documents, contracts and reports to ensure accuracy, confidentiality and easy accessibility.
- Coordinate and support the planning of corporate events, off‑site meetings and internal functions for the executive office.
- Oversee administrative processes such as expense reporting, attendance tracking and procurement for the executive office.
- Project and Communication Management: Support the execution of strategic initiatives and special projects, conducting research and preparing reports or presentations as required.
- Facilitate effective communication within the executive office and across departments, ensuring alignment and timely dissemination of information.
- Maintain strict confidentiality and discretion in handling all business, personnel and strategic matters.
- Demonstrate professionalism, integrity and discretion at all times, representing the company’s values and standards of excellence.
- Maintain a high standard of personal appearance and conduct, serving as a role model within the organisation.
- Attend required meetings, briefings and training sessions as directed by management.
- Contribute to continuous improvement by proactively suggesting enhancements to processes, systems and office efficiency.
- Collaborate effectively with colleagues across departments to ensure seamless operations and exceptional service delivery.
What we are looking for
- Proven experience as an Executive Assistant, Personal Assistant or in a similar high‑level administrative role supporting C‑suite executives.
- Exceptional organisational, time‑management and multitasking skills with the ability to manage competing priorities.
- Strong written and verbal communication skills, with professional business correspondence etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital collaboration tools.
- Demonstrated ability to exercise sound judgement, discretion and confidentiality.
- Experience in complex scheduling and international travel coordination.
- Bachelor’s degree preferred; equivalent experience may be considered.
