GEMS School of Research and Innovation (SRI) seeks a professional, dynamic and highly organised General Secretary to support the administrative functions of the Vice‑Principals and HR Office. This role is central to ensuring the smooth and efficient operation of the school’s academic and administrative offices.

We also seek to appoint a professional, dynamic, and highly organised Executive Assistant to provide executive‑level support to the Principal and ensure the smooth and efficient operation of the Principal’s Office. As a key liaison between the school’s leadership, staff, parents and the wider GEMS community, the Principal’s Assistant will act as an ambassador for the school, handling all communications and administrative responsibilities with the highest level of professionalism, confidentiality, and care.

Key Responsibilities
  • Provide comprehensive administrative and secretarial support to the Principal.
  • Maintain high standards of communication from and within the Principal’s Office, liaising tactfully with internal and external stakeholders.
  • Manage the Principal’s appointment calendar, professional correspondence, and coordination of meetings and events.
  • Organise school events and ensure effective communication and publicity for school‑wide initiatives.
  • Maintain accurate records, reports and documentation as required, ensuring confidentiality and compliance with GEMS policies.
  • Coordinate documentation for personnel processes related to contracts, attendance and school reporting.
  • Ensure the timely completion of administrative tasks, demonstrating initiative and a proactive approach to problem‑solving.
  • Provide high‑quality reception and hospitality for visitors and external contacts.
  • Demonstrate flexibility, professionalism and discretion at all times.
Qualifications
  • A Bachelor’s degree from a recognised institution is preferred.
  • Minimum of four years’ experience in a similar role supporting senior leaders, ideally within a school environment.
  • Demonstrated experience in managing complex and competing priorities with a high degree of professionalism, discretion and diplomacy.
  • Exceptional written and spoken English skills, including professional email and telephone communication.
  • Strong organisational skills, with the ability to manage multiple tasks efficiently and meet deadlines.
  • High proficiency in Microsoft Office Suite and database systems.
  • Friendly, approachable and confident in interacting with a wide range of stakeholders.
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times.
  • A proactive and positive attitude, with a strong sense of initiative and professionalism.
