Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive leadership team within the logistics sector. The ideal candidate will demonstrate strong administrative, coordination, and communication skills, with the ability to thrive in high-pressure environments and efficiently manage multiple priorities.
Key Responsibilities
- Provide high-level administrative support to the CEO or senior executives.
- Manage calendars, schedule meetings, and coordinate travel and logistics arrangements (both domestic and international).
- Prepare reports, memos, letters, presentations, and other documents related to logistics operations.
- Act as a liaison between the executive office and internal departments, external partners, vendors, clients, and government agencies.
- Coordinate and support logistics meetings, project reviews, and deadline tracking.
- Monitor key performance metrics and generate executive summaries based on logistics dashboards or ERP system data.
- Organize and maintain confidential files, records, and reports.
- Follow up on action items, approvals, and decisions made during meetings.
- Conduct basic research or data analysis on logistics trends, costs, and vendor comparisons.
- Handle sensitive and confidential information with the utmost discretion.
Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- Minimum 3 years of experience as an Executive Assistant, preferably within logistics, supply chain, or transportation sectors.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); familiarity with logistics software such as TMS, WMS, or ERP is an advantage.
- Strong organizational and time-management skills.
- Ability to work independently as well as collaboratively in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
