Job description

We are seeking a detail-oriented and proactive Admin Assistant with 2-3 years of experience in Dubai to support our operations. The ideal candidate will manage day-to-day administrative tasks, ensure smooth office operations, and assist with various team requirements. This role is pivotal in maintaining an efficient work environment and requires excellent organizational and communication skills.

Key Responsibilities:

  • Provide general administrative support including answering calls, managing emails, and handling correspondence.
  • Organize and maintain office files, records, and documentation.
  • Assist with scheduling meetings, appointments, and travel arrangements.
  • Handle office supply inventory, ordering, and vendor management.
  • Support HR and finance with document preparation and filing as needed.
  • Coordinate with other departments to ensure smooth information flow and project support.
  • Assist in preparing reports, presentations, and documentation for management.
  • Manage and update company databases and records accurately.
  • Provide support during company events, meetings, and other office activities.
  • Greet and assist visitors, ensuring a professional and welcoming environment.

Requirements:

  • 2-3 years of experience in an administrative role within Dubai.
  • Strong organizational and multitasking skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Knowledge of office management procedures and systems.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Familiarity with Dubai’s business environment and office operations.

Education:

  • Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
  • Russian speaker preferred due to business requirements.
