Job summary

A leading automotive service provider in the UAE is looking for a Document Controller to manage, organize, and safeguard financial and administrative documents. The ideal candidate will ensure accuracy and compliance with internal and UAE regulations while effectively coordinating with accountants and auditors. Responsibilities include maintaining document control systems, supporting audits, and fostering a secure document handling environment. Candidates should have at least 2-3 years of experience in document control or administrative support, preferably in accounting or finance sectors.

Job Overview

The Document Controller is responsible for managing, organizing, and safeguarding all financial and administrative documents within the organization. The role ensures accuracy, confidentiality, and adherence to company policies and regulatory requirements. By maintaining a systematic and efficient document control process, the Document Controller supports smooth accounting operations, timely audits, and reliable financial reporting.

Roles & Responsibilities
Document Management
  • Organize, scan, file, and archive accounting documents, including invoices, receipts, payment records, and financial reports.
  • Maintain accurate and up‑to‑date document control systems for both physical and digital records.
  • Ensure proper version control and maintain a clear audit trail.
  • Track all incoming and outgoing documents and update document logs regularly.
Coordination & Support
  • Coordinate with accountants, auditors, and internal departments to provide requested documents promptly.
  • Retrieve documents efficiently for audits, reviews, and internal requirements.
  • Assist in ensuring all financial documentation is complete, accurate, and compliant with internal and external standards.
Compliance & Confidentiality
  • Ensure all documents are handled in line with company policies, confidentiality protocols, and UAE regulatory requirements.
  • Follow ISO standards, Health & Safety guidelines, and ethical codes of conduct.
  • Support continuous improvement initiatives to enhance document control processes.
Key Accountabilities
  • Accuracy: Maintain precise and error‑free document filing with zero document loss or misplacement.
  • Confidentiality: Ensure secure and confidential handling of sensitive financial information.
  • Compliance: Adhere to Pitstop internal control procedures and UAE financial regulations.
  • Timeliness: Provide timely access to documents to support audits, financial reporting, and operational needs.
  • Efficiency: Manage a streamlined, well‑organized document system that enhances departmental workflow.
  • Development: Proactively seek opportunities for personal learning and professional growth.
Qualifications & Requirements
Education
  • High School Diploma or equivalent (mandatory).
  • Diploma or Degree in Accounting, Business Administration, or related fields (preferred).
Skills
  • Strong attention to detail and high accuracy in handling financial documents.
  • Proficiency in MS Office, especially Excel and Word, and familiarity with document management systems.
  • Basic understanding of accounting principles and financial documentation.
  • Effective communication and time‑management skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
Experience
  • Years: Minimum 2–3 years of experience in document control, administrative support, or a related role.
  • Sector: Experience in accounting, finance, automotive, or corporate environments is preferred.
  • Location: UAE experience is preferred; relevant international experience is also acceptable.
