Job Summary
The Document Controller is responsible for the effective control, distribution, and archiving of all documents. The role ensures that accurate, approved, and up-to-date documentation is available to relevant stakeholders in compliance with company procedures.
Key Responsibilities
- Establish, implement, and maintain document control procedures for technical and project documentation.
- Receive, register, log, track, and distribute incoming and outgoing documents (drawings, specifications, calculations, method statements, reports, schedules, etc.).
- Ensure documents are correctly numbered, version-controlled, approved, and issued using agreed transmittal procedures.
- Coordinate with engineers, project managers, consultants, subcontractors, and clients to ensure timely document submissions and responses.
- Maintain document registers, revision histories, and transmittals in electronic and hard-copy formats.
- Monitor document status (submitted, under review, approved, revised, superseded) and ensure obsolete documents are withdrawn.
- Ensure compliance with Quality Management Systems (ISO) and project-specific document control requirements.
- Support internal and external audits by providing accurate and traceable documentation.
- Archive completed project documents in line with contractual and company retention policies.
- Maintain confidentiality and security of sensitive technical and commercial information.
Qualifications
- Diploma or Bachelor’s degree in Engineering, Business Administration, or a related field
- Minimum 2–5 years of experience as a Document Controller in a technical environment
- Strong understanding of document control procedures
- Ability to maintain accurate records and ensure compliance with Quality Management Systems
