Job summary

A recruitment firm is seeking a Document Management Coordinator in Abu Dhabi. You will support the organization of project documentation, ensure compliance with corporate methodologies, and facilitate training on Document Management topics. The role involves coordination among Document Controllers and Service Assistants, while monitoring project progress and the client approval process. Ideal candidates will help in knowledge preservation across the team and manage document handovers effectively.

Responsibilities

  • Support the Organization and Logistic analysis of the specific project.
  • Assist in defining the Project Document Management Process.
  • Control and monitor Client Approval Process and Document submission.
  • Manage the Final Project documents Handover to Client.
  • Preserve and maintain Document Management Knowledge.
  • Ensure compliance with Document Management Procedures.
  • Coordinate Document Controllers and Document Service Assistants.
  • Assist in organizing and controlling Reports.
  • Provide Help Desk support for Document Management Tools.
  • Organize Document Register and Master Data Lists activities.
  • Ensure training on Project Document Management topics.
Job description

Support in analyzing organizing and managing Document Management processes and activities controlling and monitoring related tasks thus assuring Corporate Methodology and Procedures maintenance and compliance across the group. Provide coordination and monitoring of resources (Document Controllers and Document Service Assistants) involved in the Project about Project Documentation Management activities. Interface with Document Controllers Function Representatives and other Document Service Assistants involved in the project about Document Management matters. Ensure knowledge transfer and preservation of Document Management matters across the group.


Responsibilities


  1. Support the Organization and Logistic analysis of the specific project as well as the analysis of all the involved Entities.

  2. Support and assist in defining the Project Document Management Process and setting up the Project Progress Calculation.

  3. Control and monitoring Client Approval Process and Document submission to Client.

  4. Support in defining organizing and managing the Final Project documents Handover to Client.

  5. Document Management Knowledge transfer preservation and maintenance.

  6. Assure Document Management Methodology and Procedures maintenance and compliance.

  7. Coordination of Document Controllers and Document Service Assistances.

  8. Support and Assist in organizing and controlling Reports.

  9. Help Desk support about the Document Management Tools in use.

  10. Organize Document Register and Master Data Lists activities.

  11. Ensure training and assistance about Project Document Management topics including distant sites.
