Digital Services & Transport Operative - Crown UAE

Crown Worldwide Group currently has an opening for a Digital Services & Transport Operative & for our Records and Information Management Division in Dubai.

Location: Dubai UAE

Position statement
  • The Digital Services Operative is responsible for converting physical documents, images, or other materials into digital formats.
  • This role involves operating scanning equipment, ensuring quality and accuracy of scanned materials, and organizing digital files for storage or further use.
  • The role will also include driving duties to & from client offices to collect and deliver documents and materials as required, ensuring timely and secure handling of all documents during transport.
  • The Digital Services Operative plays a crucial role in maintaining accurate records and facilitating the transition from physical to digital workflows.
Key responsibilities
  • Operate scanners and related equipment to convert physical documents into digital formats.
  • Prepare documents for scanning by removing staples, clips, or other bindings and ensuring proper alignment.
  • Calibrate and maintain scanning equipment to ensure optimal performance.
  • Assist with organizing and filing physical documents post-scanning.
File Management & Quality Control
  • Organize, label, and store scanned files in designated digital repositories.
  • Ensure proper indexing and metadata tagging to facilitate easy retrieval.
  • Maintain confidentiality and security of sensitive information.
  • Review scanned images for clarity, accuracy, and completeness.
  • Re-scan documents as needed to correct errors or improve quality.
  • Ensure all digital files meet organizational standards and naming conventions as per requirements.
Workflow and documentation
  • Track and log scanning activities, including the number of documents processed and project status, and provide regular updates to supervisors.
  • Follow established workflows to prioritize and meet project deadlines.
  • Assist in developing and updating scanning procedures and guidelines.
  • Work with team members to manage high-volume scanning projects.
  • Communicate with other departments to clarify scanning requirements or resolve issues.
  • Contribute to improving scanning workflows and efficiency.
  • Troubleshoot technical issues and coordinate with IT or vendors for repairs when necessary.
Professional Knowledge and Skills
  • Qualifications in information management or information technology preferred.
  • Experience with digital scanning or scanning software, file conversion, and image editing tools.
  • Familiarity with document management systems and software is a plus.
  • Fluency in English language mandatory. Fluency in Arabic an advantage.
  • Strong attention to detail and organizational skills.
  • Ability to handle repetitive tasks with a high level of accuracy.
  • Time management and ability to prioritize tasks.
  • Basic technical troubleshooting skills for scanning equipment.
  • Proficient computer skills with experience using Microsoft Excel and other reporting functions.
  • Knowledge of data privacy, document confidentiality and compliance regulations, and security best practices.
Physical requirements
  • Ability to lift and move boxes of documents weighing up to 15 KGs.
  • Prolonged periods of sitting or standing while operating equipment.
Working conditions
  • Office or archival environment with occasional exposure to dust from older documents.
  • Should be able to climb 3 floors to reach to documents.
  • May be required to work flexible hours to meet project deadlines.
Client Interaction & Delivery Support
  • Represent Crown professionally during client interactions, maintaining a courteous and service-oriented approach & image.
  • Build rapport with clients to support long‑term relationships and customer satisfaction.
Professional Knowledge and Skills (Driving/Interpersonal)
  • A valid UAE driving license is required.
  • Strong interpersonal and communication skills.
  • Customer service experience is a plus.
