WHERE DOES THIS ROLE FIT INTO THE BIGGER PICTURE?

Projects Executive – support the planning and delivery of academy programs by coordinating stakeholders, supporting application selection cycles, and ensuring delivery readiness across the full program lifecycle.

Dubai Future Academy (DFAc) is the capability‑building arm of Dubai Future Foundation. It supports Dubai by developing learning opportunities through collaborations with world‑class education providers and subject matter experts.

The Projects Executive supports the Program and Project Manager by keeping plans organised, coordinating key stakeholders, and helping ensure a smooth experience for participants from start to finish.

ABOUT THE ROLE

As a DFAc team member, you will support end-to-end program delivery from planning through close‑out. The role suits someone who enjoys organised coordination, clear documentation, and being involved in delivery days.

You will support the Program and Project Manager by managing assigned tasks, communicating professionally with stakeholders, handling sensitive information with care, and following up on actions to ensure closure.

The role also suits someone who learns quickly, adapts well to change, and is comfortable picking up new tools and ways of working.

KEY RESPONSIBILITIES
1. Program & Project Support
  • Support in maintaining workplans, timelines, and task trackers for assigned programs.
  • Prepare and update simple readiness checklists and run‑of‑show documents, keeping actions clear and easy to follow.
  • Coordinate internal inputs needed for delivery, including branding requests, room setup needs, access, and approvals.
  • Keep program documents organised with clear naming and version control.
2. Stakeholder & Speaker Coordination
  • Coordinate speaker scheduling, confirmations, and follow‑ups for assigned sessions.
  • Prepare and share speaker briefing packs with key details such as timing, format, audience profile, and on‑day requirements.
  • Support basic tech check coordination for online or hybrid sessions by confirming links, slides, and session setup with relevant teams.
  • Capture meeting notes and action items and follow up to ensure completion.
3. Delivery Readiness & On‑Ground Support
  • Coordinate with the Operations Lead to ensure delivery readiness items are confirmed in advance, including venue details, room layout, signage, and participant flow.
  • Ensure key materials are prepared and available, including agendas, participant packs, name tents, and feedback tools.
  • Support delivery days on‑ground by assisting with participant flow, session readiness, and issue resolution, escalating when needed.
4. Participant Experience & Communications
  • Prepare and send standard participant emails using approved templates, including joining instructions, reminders, schedules, and location details.
  • Track participant confirmations and attendance lists, keeping records accurate and up to date.
  • Receive participant questions and route them to the right team member, following up to ensure closure.
  • Support basic coordination during selection phases, such as interview scheduling, confirmations, and simple follow‑ups.
  • Assist with simple participant arrangements as needed, coordinating with relevant teams and flagging anything sensitive early.
5. Data, Reporting & Continuous Improvement
  • Support end‑of‑program close‑out reports for assigned programs, including delivery summary, attendance metrics, and key feedback themes.
  • Consolidate close‑out materials such as final agendas, run‑of‑show documents, attendance logs, and survey outputs for easy reference.
  • Support close‑out actions by confirming open items are completed and final materials are archived in the agreed structure.

ESSENTIAL QUALIFICATIONS AND BEHAVIORS
  • You have a Bachelor’s degree.
  • You have 2 years of experience in project coordination, program operations, events, training delivery, or consulting support.
  • You are organised and comfortable working with task trackers, checklists, and structured documentation.
  • You communicate clearly and professionally, and can write strong emails, meeting notes, and concise updates.
  • You have excellent written and spoken English communication skills. Fluency in written and spoken Arabic is an additional asset.
  • You are confident with Excel, PowerPoint, and Word, and comfortable using collaboration tools such as Teams and Zoom.
  • You have strong attention to detail, follow through on tasks, and take pride in doing work properly.
  • You are curious, willing to learn, and quick to pick up new tools and ways of working.
