POSITION OVERVIEW

The Development Administrator plays a key administrative role in supporting the development department’s operations and donor engagement activities. This position will assist the Managing Director of Development and departmental staff with grant tracking, donor correspondence, meeting scheduling, and maintaining donor records. The Development Administrator will provide logistical and administrative support to the CEO & President to enhance fundraising efforts and ensure timely and professional communication with external stakeholders.

Days/Hours: Monday to Friday8:30AM – 5:00PM (Min. 3 Days a week onsite; occasional evenings and weekends as needed.)

SUPERVISORY RESPONSIBILITIES

This position does not supervise staff.

ESSENTIAL DUTIES & RESPONSIBILITIES

Donor Cultivation

  • Create and Manage donor acknowledgments and correspondence, including timely thank-you letters and follow-up materials.
  • Support donor cultivation efforts by preparing and organizing materials for donor meetings and events.
  • Maintain the accuracy of donor and grant records within the CRM system (DonorPerfect).
  • Schedule and coordinate meetings, appointments, and logistics related to major donor and partner engagement.
  • Assist in the development and production of simple reports and donor-related dashboards.
  • Provide general administrative support to the Managing Director of Development, and CEO in support of board. committee or community meetings.
  • Track grant submissions, responses and preparing grant summaries for awards
  • Track grant deadlines and reporting requirements
  • Maintain the accuracy of grant records within the CRM system (DonorPerfect, CharityEngine) etc.
QUALIFICATIONS

Education

Bachelor’s degree in relevant field preferred; 5-7 years of professional administrative experience in a nonprofit or education setting preferred.

Experience

  • Highly organized with strong attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a dynamic work environment.
  • High degree of professionalism and the ability to maintain confidentiality.
  • Experience with CRM systems (e.g., DonorPerfect, Salesforce) preferred or demonstrated quick learner.

TRAVEL REQUIREMENTS

This position will require frequent travel throughout the Dallas-Fort Worth Metroplex and surrounding suburbs.
