If so, you might be the Customer Coordinator we are looking for to join our Sales Team in Dubai.
About the Position
As a Customer Coordinator, Commercial Shipping you will play a crucial role in maintaining our Best in Class status and ensuring smooth delivery operations.
Based in Dubai, you will be part of the Middle East Sales team and report to the Sales Manager.
Primary responsibilities include:
- Provide essential administrative and operational link to the sales team (and other departments, and directly with customers), ensuring smooth sales processes and effective customer interactions and efficient customer relationships.
- Ensure to understand VIKING’s tools for supporting the Sales team such as SAP, SDS, CRM and any other existing systems, and to follow up continuous developing tools of VIKING.
- Active Sales order overall process handling and sales activities coordination to ensure necessary resources support for whole sales team, such as handling customer request, facilitating communication between the sales team, customers, and other departments, SO creation, delivery follow up (incl. partial & local delivery), Payment achievement, providing after-sales support incl. complaints and NCR acc. to sales team’s guidance:
- Execution Order creation from Quotation through SAP under the Sales Team’s guidance and ensure that the result meets both Sales Teams’ desire and Customer’s request without any failure.
- Ensure that VIKING’s preparation for the order should be completed accordingly and the order should be in right position according to Sales Teams’ guidance, without any failure.
- Ensure that the required sales related document, i.e. for delivery/shipment, should be correctly prepared and done and send to customer in time according to the contract/payment conditions and customer requirements
- Support and develop documentations to make sure that the documentation complies with the customer’s requirements
- Ensure that payment on each order/contract should be accomplished in time
- Analysing Claim contents of customers and conduct NCR process accordingly up to responding to Customers
- Proactively follow and report market developments, status and required information in reporting format with regards to order status, delivery process, payment issue, NCR, coordination between Sales and Service and any request by the Sales Team and VIKING in Korea
- Identifying areas for improvement in sales processes and contributing to optimization
- Adapting and Assisting in the development and implementation of VIKING group marketing and sales strategies under guidance of Sales Managers for the marketing activities, exhibitions, sales calls, advertising, and other sales and promotion activities
- Ensure that neither Sales Team nor Service Team suffers economically from lack of coordination in the sales efforts
- Periodical/temporal sales meeting material preparation, incl. agenda, required meeting doc., meeting memo, necessary/required information for subject and any other required resource
- To contribute and promote an active, motivated, upward, resilient, cooperative team spirit and atmosphere within the Sales team.
- Assist Sales Managers for general sales bidding files if needed
- Assist Sales Managers for TAS orders – local production items process if needed
- Maintaining Sales related records and data, filling relative documentations, and organizing promotional materials if requested
- Knowledge sharing with peers in other VIKING business units to identify and implement best practices, and benchmark accordingly.
- Contribute to the awareness of and protect VIKING’s brand in the region
- Contribute to developing VIKING’s service business
- Report changes in rules and regulations that may impact VIKING’s business
- Support the efforts of Sales Team in Korea is optimized to maximize profit for the group
- Other Sales related matter as requested by Sales Manager.
