Responsibilities
  • Effectively managing the Office of the Director of the Department, including receiving all visitors, answering all calls, being present in the office at all times, ensuring the office’s technological and administrative readiness, and supervising the maintenance and cleaning services provided to the office.
  • Following up on the completion of the directives of the Director of the Department to the organizational units and employees, and submitting their updates to the Director of the Department daily / weekly / as needed, and keeping a record of them.
  • Receiving, reviewing, and processing the needs of the organizational units and their employees from the Director of the Department.
  • Receiving the needs of the organizational units affiliated with the department and their employees from the Director of the Department, and working with the Director of the Department to act on them, make decisions regarding them, and complete them.
  • Receiving the needs of the organizational units not affiliated with the department and their employees, working with the Director of the Department to act on them, make decisions regarding them, and complete them.
  • Carrying out administrative and clerical tasks related to the work of the Director of the Department.
  • Preparing and managing the schedule and appointments of the Director of the Department, and arranging priorities based on work needs and interests.
  • Managing documents, files, records, letters, reports, summaries, and meeting minutes related to the Director of the Department and his work, classifying them, archiving them, keeping a record of them, and retrieving them whenever required.
  • Coordinating and following up with organizational units not affiliated with the department, and with external governmental and private entities and their representatives connected to the work of the Director of the Department.
  • Coordinating and following up with internal organizational units and their employees in a manner that supports the workflow of the department and its director, and submitting their updates to the Director of the Department daily / weekly / as needed, and keeping a record of them.
  • Coordinating and following up with external governmental and private entities and their representatives in a manner that supports the institution’s work assigned to the department and its director, and submitting their updates to the Director of the Department daily / weekly / as needed, and keeping a record of them.
  • Preparing and drafting meeting minutes, correspondences, letters, reports, summaries, presentations, and lists related to the Director of the Department.
  • Following up the department’s compliance with the timelines of the institutional performance cycle stages and achieving the organizational indicators of the operational plan.
  • Participating in supporting the needs of the Director of the Department, documenting notes, preparing meeting minutes, reviewing them with the Director of the Department, and circulating them to the concerned parties.
