Ontime Healthcare is looking for a dedicated and efficient Executive Assistant to support our executive. This role will be the backbone of our operations, helping to facilitate communication, manage schedules and ensure smooth workflow within the organization. The ideal candidate thrives in a fast-paced environment while maintaining a high level of professionalism and attention to detail.

Responsibilities
  • Manage daily administrative functions for the executive team including managing calendars and scheduling meetings
  • Prepare and distribute agendas, minutes and reports to ensure efficient follow-up
  • Handle incoming communications both written and verbal with discretion and professionalism
  • Coordinate travel arrangements, accommodations and itineraries for executives
  • Assist in project management tasks and preparation of presentations and documentation
  • Serve as a point of contact for internal and external stakeholders
  • Support the organization of company events and meetings
  • Maintain a high level of confidentiality and manage sensitive information appropriately
Requirements
  • Proven experience as an Executive Assistant or in a similar administrative role
  • Exceptional organizational and time management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite and other office management software
  • Strong problem-solving skills and attention to detail
  • Ability to work autonomously and as part of a team
  • High degree of professionalism and discretion
  • Strong interpersonal skills and adaptability in a dynamic environment
  • Fluency in English required; additional languages are preferable
