To support our expanding operations, we are looking for a highly organized, presentable, and detail-oriented Admin & Personal Assistant who can efficiently manage administrative functions while providing direct personal support to senior leadership.

Role Summary

The Admin & Personal Assistant – Real Estate will play a critical role in ensuring the smooth functioning of day-to-day office operations while acting as a key point of coordination between management, clients, brokers, and external stakeholders. This role requires a professional who can balance administrative responsibilities with personal assistant duties in a fast-paced, client-driven real estate environment.

The ideal candidate will be flexible, composed under pressure, and confident in handling client interactions while maintaining confidentiality and operational excellence.

Key Responsibilities
Administrative & Office Support
  • Manage daily administrative operations to ensure a smooth and efficient office environment
  • Organize and maintain physical and digital filing systems, records, and databases
  • Draft, format, and prepare correspondence, reports, presentations, and official documents
  • Handle incoming and outgoing calls, emails, and office communication professionally
  • Coordinate office supplies, vendors, and service providers as required
  • Support internal processes and ensure adherence to company policies and procedures
Personal Assistant Duties
  • Provide full personal assistant support to senior management
  • Manage calendars, schedules, meetings, reminders, and follow-ups
  • Arrange meetings, appointments, and travel-related requirements if needed
  • Act as a gatekeeper by prioritizing communication and requests efficiently
  • Handle confidential and sensitive information with absolute discretion
Client & Stakeholder Management
  • Serve as a professional point of contact for clients, developers, brokers, and partners
  • Welcome and assist clients during office visits, ensuring a positive customer experience
  • Coordinate client meetings, property viewings, and documentation processes
  • Maintain professional communication standards across all client interactions
  • Follow up with clients regarding documentation, appointments, and service requests
Real Estate Operations Support
  • Assist with preparation and coordination of real estate documentation and contracts
  • Support property listings, marketing coordination, and listing updates
  • Liaise with internal teams and external agencies for property-related requirements
  • Track documentation status and ensure timely completion of administrative tasks
  • Support brokers and management with operational and documentation needs
Reporting & Coordination
  • Maintain accurate records, logs, and administrative trackers
  • Assist in preparing management reports and updates
  • Ensure timely follow-ups and coordination across multiple stakeholders
  • Handle ad-hoc administrative and coordination tasks as required
Required Qualifications & Experience
  • 1–2 years of experience in the Dubai real estate sector (mandatory)
