ROLE SUMMARY
The Administrative Assistant provides comprehensive administrative, coordination, and organizational support to the Vice President – Commercial of Retail Discount. The role ensures smooth daily operations, effective calendar and travel management, and timely execution of administrative processes, enabling the VP to focus on strategic and commercial priorities.
ROLE PROFILE
- Manage the VP’s calendar, schedule meetings, and prioritize appointments for effective time management.
- Act as the primary contact for internal and external stakeholders, ensuring timely and professional communication.
- Prepare, edit, and format presentations, reports, and official correspondence.
- Organize and coordinate meetings, workshops, and events, including agendas, logistics, and follow‑up actions.
- Arrange travel plans for the VP and occasionally for team members, covering flights, visas, and accommodations.
- Process expense claims, invoices, and budget‑related documentation in compliance with company policies.
- Maintain organized digital and physical filing systems, ensuring confidentiality and easy retrieval.
- Support commercial team with project tracking, document collation, and KPI monitoring for decision‑making.
REQUIREMENTS
- Bachelor’s degree in Business Administration or related field (Diploma in Office Administration or Secretarial Studies is an advantage).
- 3–5 years of experience as an Executive Assistant supporting senior leadership, preferably in retail, FMCG, or multinational environments.
- Strong organizational and multitasking skills with high attention to detail.
- Excellent written and verbal communication in English (Arabic is a plus).
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Professional presence, discretion, and ability to handle confidential matters while working with senior executives and diverse teams.
